How to Create and Set Up a Workspace in Wakelet
Wakelet Workspaces make it easy to collaborate with your classroom, department, or team in one shared space. In this guide, we’ll show you how to: Create a workspace, Add teachers and students, Organise members into groups and Start creating collections your group can access and contribute to.
Before creating your workspace, it helps to have the following ready:
- A list of teacher and student email addresses
- The number of teacher and student seats you will need
- Your CSV file of students (if you plan to upload members in bulk)
- A promotional code (if you have one)
You can always add more members later if needed.
Step 1: Create Your Workspace
- Click your profile image in the top right corner.
- Select Create a Group Workspace from the dropdown menu.
- You will see the available workspace plans.
- Click the Education tab.
- Select Education Group.
- Click Choose Plan.
You will now be taken to the checkout page.
Step 2: Purchase Your Workspace Plan
On the checkout page you can:
- Choose the number of teacher seats
- Choose the number of student seats
- Add a promotional code (if you have one)
Once you're ready, complete your purchase.
After your payment is successful, your workspace will be created automatically, and you will land in your Workspace Settings.
Step 3: Set Up Your Workspace
From the Workspace Settings page you can:
- Give your workspace a name
- Upload a workspace image
- Review how many teacher and student seats you have available
Once this is set up, you're ready to start adding members.
Step 4: Add Teachers and Students
Go to the Members section.
Here you can add teachers and students to your workspace in two ways:
- Invite by email
- Upload members using a CSV file
We recommend using the CSV upload method for when adding a class or group of students. Many schools block external emails to students - with CSV, your students will be able to then sign in without needing to access an email link.
Step 5: Upload Members Using CSV
To upload members using a CSV file:
- Download the CSV template.
- Open the file, make a copy of it, and read the instructions carefully.
- Click on the Your group roster tab and fill in the required fields, including:
- Name
- Student ID
Choosing a sign-in method
If your students will sign in using Single Sign-On (SSO):
- Leave the password column blank
If students will sign in using email and password:
- Add a password in the password column
Students can change their password later.
- Save the file as a CSV file
- Upload the CSV file to Wakelet
- Review the list of users
- Click Import to add them to your workspace
Step 6: Create Groups
Once your members have been added, you can organise them into groups.
- Go to the Groups section in the sidebar
- Click Create Group
- Open Settings to:
- Give the group a name
- Select a grade
- Add a group image
- Give the group a name
- Click Invite Members
- Select the members you want to add
- Confirm your selection
Your group is now ready.
Step 7: Access Your Workspace
To move from the admin area into your workspace:
- Click the Wakelet button in the top left corner
- Open the Groups area
- Select the group you created
You can also click the three dots next to the group and choose Add to Sidebar for quick access.
Step 8: Create Collections for Your Group
Inside a group you can start creating collections.
Collections are where you can add:
- Learning resources
- Links
- Videos
- Articles
- Images
- Student work
Students in the group will be able to access these collections when they sign in.
Step 9: Control Collection Permissions
You can decide who can view or contribute to a collection.
- Open a collection
- Click Share
- Find the group under Contributors
- Use the dropdown menu to choose the permission level
Available options include:
No Access
Members cannot view the collection.
Can View
Members can see the collection but cannot add content.
Can Add
Members can add content to the collection.
Can Edit
Members can add content and edit parts of the collection.
Turn any Collection into an Activity
You can also turn any collection into a student activity.
This allows students to submit their work directly into the collection.
Activities are great for assignments, collaborative research, and project-based learning.
Your Workspace Is Ready
Your workspace is now ready for collaboration.
You can continue to:
- Create new collections
- Organise additional groups
- Invite more teachers or students
You can also return to Workspace Settings at any time to manage seats or update your workspace details.
Ways to Use a Wakelet Workspace
Here are a few ways educators commonly use workspaces.
Classroom Resource Hub
Create collections of lesson materials, videos, and resources that students can access anytime.
Student Project Collaboration
Students can add links, images, and research to shared collections for group projects.
Department Resource Library
Teachers can collaborate on shared collections of teaching materials and best practices.
Assignment Activities
Turn collections into activities where students submit their work.
School-Wide Initiatives
Create collections for school events, reading lists, or collaborative learning projects.
Common Questions
Can I add more students later?
Yes. You can invite additional students or teachers at any time from the Members section.
If you need more seats, you can adjust your plan from Workspace Settings.
What if my students can’t receive email invitations?
If email invitations are blocked by school filters, we recommend using the CSV upload method to add students directly.
What happens if I run out of seats?
Once all seats are used, you won’t be able to invite additional members until you increase your seat limit.
You can manage your seat count from Workspace Settings.
